Meeting Transcriptions Now Available for Microsoft Teams

Meeting transcriptions are now available in Microsoft Teams and are also automatically generated on videos uploaded to SharePoint and the rest of the Microsoft 365 ecosystem. This feature allows you to play back meeting recordings with closed captions and review important discussion items in the transcript. Transcription and captions help create inclusive content for viewers of all abilities.   

WHAT IS HAPPENING?

Transcriptions can be turned on manually for any meeting and will be automatically turned on when a meeting is being recorded. When transcription is turned on, Teams will begin drafting a transcription of the meeting audio that will be available to attendees when the meeting ends. Transcription can be stopped and started throughout the meeting, or it can be turned off altogether. Additionally, when a video is uploaded to SharePoint or anywhere else in the Microsoft 365 ecosystem, transcripts will automatically be generated and saved alongside the video. 

WHAT DO I NEED TO DO? 

This feature will be automatically turned on when a recording is turned on for a meeting and requires no further action. To start and stop transcription during a meeting, click 鈥淩ecord and Transcribe鈥 from the top menu of your meeting window and choose your action. To disable transcription for your meeting as soon as recording has started, select 鈥淪top Transcription鈥 from the same menu. 

If you do not want to be identified in meeting captions and transcripts, you can turn off the "Automatically identify me in meeting captions and transcripts" option in Teams Settings, following these steps:

1.     Select More options (the three dots) next to your profile picture at the top of Teams and then select Settings.

2.     Select 鈥淐aptions and transcripts鈥 on the left and then select the Automatically identify me in meeting captions and transcripts toggle to turn off the option.

It is important to note that transcripts of recorded meetings including class meetings may be subject to the public records laws of the State of Florida except where an exemption is provided by law. Faculty and staff members have a duty to preserve any transcription records in accordance with the state's record retention schedules, as outlined in policy.
